Seasons, service areas and maintenance plans: 3 facts AI assistants get wrong about HVAC companies
HVAC businesses change with the weather. If your website doesn't say so plainly, an assistant fills the gaps with guesses.
An HVAC company in July and the same company in January are different businesses: different hours, different calls, sometimes different crews. People read between the lines. AI assistants don't. They repeat what's written, and when nothing's written they either skip you or guess. These are the three gaps we see most.
1. Hours that change with the season
Many shops stretch their hours in peak cooling season and add weekend or overnight emergency coverage. If your site lists one set of hours all year, an assistant can't know you're answering at 8 p.m. in August.
- List your normal hours in structured data (
openingHoursSpecification). - Add a plain sentence for seasonal changes: "June through September we answer no-cool calls until 10 p.m., 7 days a week."
- Update your Google Business Profile hours at the same time so the two never disagree.
2. Where you actually go
"Serving South Florida" is a slogan, not a service area. An assistant asked about a specific town needs the town's name. List the cities or counties you really cover. Don't invent pages for places you don't serve: an honest short list beats a long one that sends you calls you'll turn down.
3. What a maintenance plan includes
Maintenance plans are one of the most common questions an assistant gets about HVAC ("Is an AC tune-up plan worth it? What does it include?"). If your plan page is a single "Join our club!" button, there's nothing accurate to repeat. Write out:
- How many visits a year, and which systems are covered.
- What's checked on each visit, in plain words.
- Any member perks (priority scheduling, discounts) and the price or "call for price".
- How to cancel.
Why this matters
Being bot-ready isn't about tricks. It's about writing down the facts a dispatcher would tell a caller, in a place a machine can read them. Nobody can promise an assistant will mention your company, but you can make sure that when it does read your site, it gets the facts right.
